Budget apps promise to track your spending automatically, and for a lot of people that’s exactly the problem: numbers you never touch are numbers you never feel. A manual expense log takes about fifteen seconds per purchase โ€” and that tiny bit of friction is where the awareness comes from.

This tracker keeps the manual method as light as possible: a log with date, description, a category dropdown, and amount โ€” and a summary panel that totals every category live as you type. No macros, no linked accounts, nothing to configure.

What’s in the file

Expense Log โ€” 60 transaction rows (plenty for a month of honest logging) and ten categories in the dropdown: housing, utilities, groceries, transport, health, dining out, entertainment, shopping, subscriptions, other.

The summary panel sits beside the log and updates instantly. In the worked example, twelve transactions add up like this: four grocery runs total $275.25, rent dominates at $1,450, and the month lands at $2,049.73. The panel does this with SUMIF per category and a SUM for the total.

The “Untagged” line is a small feature we added after testing: it shows the difference between the grand total and the sum of all categorized spending. If it’s anything other than 0.00, some row has an amount but no category โ€” the most common way trackers quietly drift out of truth.

How to actually stick with it

The template is the easy part; the habit is the whole game. What works, according to people who’ve kept manual logs for years:

Log on your phone, at the register. Open the sheet in the Google Sheets app and enter the amount before you pocket the card. Batching receipts for Sunday night feels efficient and is where most people quit.

Don’t over-categorize. Ten categories is deliberate. A tracker with thirty categories produces beautiful charts and dies in week two. If you regularly can’t decide between two categories, merge them.

Round if you want. $86.40 or $86 โ€” the insight (“groceries are a quarter of my spending”) is identical, and lowering the precision bar keeps the habit alive.

One month is enough to learn something. You don’t have to commit forever. A single honestly-logged month usually surfaces one number that surprises you โ€” that’s the payoff, and it’s also the input the 50/30/20 calculator needs.

Customizing the categories

The dropdown list and the summary panel are linked by name, so change both: edit the category name in the summary panel’s Category column, and update the dropdown list (in Excel: Data โ†’ Data Validation; in Google Sheets: right-click a category cell โ†’ Dropdown). The SUMIF matches text exactly โ€” that’s also why the Untagged line exists as a safety net.

Need more rows? Insert them anywhere between the first and last log rows; every formula range expands automatically.

Using it in Google Sheets

  1. Google Sheets โ†’ blank sheet โ†’ File โ†’ Import โ†’ Upload โ†’ choose the file โ†’ Replace spreadsheet.
  2. Dropdowns and formulas carry over. On your phone, the Sheets app picks it up automatically โ€” that’s the version you’ll actually use.

For a new month, duplicate the tab and clear the log (select the log rows, Delete). Keeping each month as its own tab turns the file into a year-long spending history for free.

Frequently asked questions

Why not just use my bank’s category breakdown? Banks miscategorize constantly (the corner store that codes as “restaurant”), and more importantly, passive numbers don’t change behavior. The act of typing it is the feature.
