Subscription Tracker (Free Spreadsheet Template)

Subscriptions are engineered to be forgotten. Small monthly amounts, annual renewals timed eleven months after you cared, “free” trials with your card on file — each one is trivial, and the pile is not. Most people who do this exercise for the first time find their real number is 1.5–2× what they’d have guessed.

This tracker produces that real number in about ten minutes. List every subscription, its price, and whether it bills monthly or yearly — the sheet converts everything to a monthly equivalent, totals it, annualizes it, and then does the part that actually changes behavior: a verdict column (Keep / Cancel / Downgrade) with a live counter of what your Cancel decisions are worth per year. The example audit

Nine subscriptions — streaming, music, cloud storage, apps, software. Individually they’re all “just $10-ish.” Together: $78.76/month, $945.12/year.

The yearly conversions are where the surprises live. That $69.99/year meditation app feels cheaper than the $9.99/month video service — it displays right there in the monthly-equivalent column as $5.83 vs $9.99, so the comparison is finally apples to apples. And the audit verdicts — canceling the second video service, the unused meditation app, and the game pass — are worth $321.72 a year. A third of the total bill, from three honest decisions.

How to run the audit (the finding is the hard part)

The tracker only works if the list is complete, and memory won’t get you there. Three sources, fifteen minutes:

Last 2–3 months of card and bank statements. Search for the usual suspects and anything recurring. Two months catches the monthlies; scanning back 12 catches the annuals — the ones nobody remembers.

Your app store subscriptions page. Phone subscriptions (iOS: Settings → your name → Subscriptions; Android: Play Store → Payments & subscriptions) hide an astonishing number of $4.99s.

Email search for “receipt” and “renewal”. This finds the ones billed to the other card.

Then fill the verdict column with one honest rule: if you have to think about whether you used it last month, it’s a Cancel or Downgrade. “I might get back into it” is how a $12.99 gym app collects $155 a year from someone who runs outside.

The renewal column is your defense system

Yearly subscriptions do their damage at renewal, so the tracker records when each one renews. Two habits make that column pay:

Before any annual renewal, re-decide. Put a calendar reminder a week before each Yearly row’s date. A 30-second decision beats an automatic $69.99.

Cancel timing for annuals: you’ve paid through the renewal date anyway — cancel now and you keep access until then. There is no reason to wait, and waiting is precisely what the renewal is betting on.

Re-run the audit quarterly. Subscription creep is not a personal failing — it’s the business model — and a quarterly fifteen-minute sweep is the entire countermeasure. The canceled money has better places to go: an extra debt payment or a savings goal — $321.72/year is a real contribution to either.
